Data use and privacy at CFA

Why is your participation important?

Your feedback provides key evidence to support decision-making and continuous improvement across the CFA organisation.

How confidential are the responses provided by you?

Access to the Your Say CFA platform requires CFA member log in. As such, any feedback you provide through a Your Say CFA project page will be stored within that Your Say CFA project page database against your details.

The project team for that specific Your Say CFA project page, identified under "Who's Listening", will have access to these details alongside the Your Say CFA Administrative team. These people will handle your survey responses in line with privacy principles and CFA policies, and ensure your individual feedback remains confidential, where indicated.

How do we use your personal information?

Some Your Say CFA project pages may request your personal details for follow up. You are under no obligation to provide this personal information and you can choose not to without consequence.

If you do choose to provide this personal information, we will only use it for the purposes for which it was collected:

  • Your name is collected so that we can appropriately address you in future correspondence.
  • Your contact details are collected so that we can contact you if you give us permission to do so.
  • Your postcode, brigade, district and/or region are collected so that we can identify where people are coming from.

Any contact information provided by you will not be added to a mailing list without your consent.

When will we share your information externally?

In some instances, your information will be shared with an external consultant to reduce potential biases associated with internal reviews or evaluations to ensure validity of findings.

All external consultants will be required to enter a Memorandum of Understanding in relation to:

  • Demonstrating their commitment to ethical practices and any relevant ethics guidelines that will be adhered to, including strict confidentiality of data.
  • All associated reports, publications and presentations will only contain aggregated, non-identifiable results.
  • Statistical data will not be used in any way that could be construed as harmful to any individual respondent including children.
  • All data supplied by CFA are to be used solely for the purposes outlined in the contract agreement and must be destroyed at the end of the contract.

We will not disclose your personal information to any other third-parties without your consent unless disclosure is required or permitted by law.

How will we analyse and evaluate your feedback?

Feedback collected through the Your Say CFA platform will be analysed on a regular basis (e.g. fortnightly or monthly). Results of which are then used to make better-informed decisions and support continuous improvement across the CFA organisation.

Additionally, aggregated responses may be used to create a dashboard using the following methods embedded in Your Say CFA:

  • Filtering: for narrowing down inquiries to look at something specific
  • Comparing: comparing variables side by side
  • Cross Tabular: filtering and comparing one variable with another

How will we share reports and other outcomes based on your responses with you and others?

CFA Project Administrators / Project Managers assess responses provided by you on the Your Say CFA site on a regular basis and publish the key aggregated, non-identifiable results on the associated Your Say CFA project page.

Aggregated, non-identifiable results may be presented on CFA's website using various formats including Infographics and other visuals.

Aggregated, non-identifiable results will be used for evaluation purposes and assessed with other data sources. Reports based on the aggregated, non-identifiable results will be disseminated in various user-friendly formats such as PowerPoint presentations, visuals and brochures.
